Role Overview
We are looking for a proactive and detail-oriented Administration Executive to support the organization’s day-to-day operational needs. This role will be central to ensuring smooth office functioning, coordination across teams, and efficient logistics and administrative management.
Key Responsibilities: -
1. Office Administration, Infrastructure & Housekeeping
- Ensure smooth functioning of office infrastructure and facilities
- Oversee housekeeping, cleanliness, and maintenance of the workplace
- Coordinate with vendors for repairs, utilities, and upkeep as and when required
2. Travel, Logistics & Compliance Management
- Manage end-to-end travel arrangements (flights, accommodation, local transport) for team members
- Act as a central point of coordination for travel planning across departments
- Ensure cost-effective and timely bookings
- Track and ensure timely travel expense settlements and reimbursements
- Ensure adherence to organizational travel and administrative policies
3. Event Support & Coordination
- Provide administrative and logistical support for internal and external events, trainings, and workshops
- Coordinate with different teams for event and printing requirements
- Manage vendor interactions and on-ground execution support
4. Stock & Inventory Management
- Maintain records of office supplies, equipment, and materials
- Maintain and track the program stock
- Monitor stock levels and ensure timely procurement
- Implement and maintain inventory tracking systems
5. Vendor Management
- Identify, onboard, and manage relationships with vendors (travel, housekeeping, event, printers etc.)
- Maintain vendor’s contact database
- Negotiate pricing and ensure cost efficiency
- Monitor vendor performance and ensure service quality
6. MIS & Reporting
- Maintain accurate administrative and operational records
- Prepare and share MIS reports (monthly, quarterly, and annually) related to travel, expenses, inventory, and admin operations
- Support data-driven decision-making through timely reporting
7. General Office Management
- Handle day-to-day administrative tasks
- Support documentation, record-keeping, and filing
- Assist leadership and teams with ad hoc administrative requirements
- Make necessary arrangements for holding company training, workshop and monthly team convergence events
Key Requirements
- 0–2 years of experience in administration, operations, travel desk or a similar role
- Strong organizational and multitasking skills
- Good communication and coordination abilities
- Proficiency in MS Office / Google Workspace
- Ability to work independently and take initiative
