Payroll Banking Specialist / Sr. Specialist
Job Duties
Under general supervision, functions as a member of the Payroll Banking team, with primary responsibility for managing payroll banking operations, payment processing, and bank integrations. This includes executing payroll payment files, coordinating with banks and payroll stakeholders, supporting projects, and ensuring compliance with banking and payroll standards.
Key Responsibilities
Payroll Banking Operations
- Upload and process payroll payment files within agreed timelines
- Monitor payment status and ensure successful completion of transactions
- Identify and resolve payment failures, rejections, or system errors
- Partner with payroll teams to ensure accuracy and timeliness of payments
Bank Coordination & Issue Resolution
- Act as a primary contact for banks on payroll payment issues
- Coordinate with bank support teams to resolve file validation or portal-related issues
- Maintain logs and trackers for all banking-related incidents and resolutions
Penny Testing & Bank Validation
- Perform penny testing for new accounts and payroll implementations
- Validate and document successful testing for compliance and audit
- Coordinate resolution of validation issues with banks and vendors
UAT & Implementation Support
- Support UAT and parallel testing for payroll banking processes
- Validate XML bank files, payment outputs, and bank acknowledgements
- Work with internal teams and vendors during payroll system implementations
XML & Bank File Management
- Coordinate development and implementation of XML bank file formats
- Ensure compliance with bank technical specifications
- Support system changes, integrations, and payroll platform transitions
Banking Controls & Compliance
- Maintain SOPs, controls, and audit documentation
- Ensure adherence to payroll banking compliance and regulatory requirements
- Support internal and external audits
Access Management
- Manage bank portal access requests and user access reviews
- Ensure security, compliance, and segregation of duties in banking operations
Project & Continuous Improvement
- Support payroll banking projects, including new implementations and integrations
- Identify opportunities for process improvements and automation
- Participate in transformation initiatives such as system upgrades (e.g., S4 Hana)
Reporting & Metrics
- Track and report payroll banking metrics, including payment success rates and rejections
- Prepare dashboards, reports, and presentations for management
- Analyze trends and recommend corrective actions
Qualifications
- Minimum 3–5 years of experience in payroll, banking operations, or finance support
- Bachelor’s Degree preferred (Finance, Accounting, or related field)
- Basic understanding of payroll processes and banking workflows
- Familiarity with payroll systems and bank file formats is an advantage
- Strong analytical, problem-solving, and stakeholder management skills
