Bookkeeper – Job Description
Overview
The Bookkeeper will manage a variety of day-to-day accounting tasks including categorizing transactions, reconciling accounts, generating invoices, and preparing financial reports. This position requires certified expertise in QuickBooks Online, strong organizational skills, and attention to detail. The role is fully remote and includes close collaboration with management, customer service, and external CPA support.
Essential Duties and Responsibilities
· Demonstrate thorough knowledge of accounting and bookkeeping practices
· Execute weekly bookkeeping using QuickBooks Online to categorize and reconcile transactions
· Maintain awareness of updates to QuickBooks functionality and compliance
· Identify and investigate discrepancies or variances in financial data
· Source and organize all necessary receipts and documentation
· Obtain Owner approval for subcontractor invoices
· Update job costing forms and track project profitability
· Prepare and issue client invoices on a regular basis
· Perform biweekly account reconciliation
· File monthly sales tax, annual CAT tax, and prepare 1099s for subcontractors
· Manage accounts payable records and processes
· Coordinate with customer service regarding outstanding invoices
· Respond to tax agency notices and support compliance resolution
· Generate financial metric reports for management review
· Review and update monthly budgets
· Collaborate with CPA for adjustments and reporting accuracy
· Communicate effectively with Managers and Crew Leaders
· Complete other administrative tasks as needed
Minimum Qualifications
· Certified in QuickBooks Online
· Minimum of 2 years' experience using QuickBooks
- Work in Pacific Standard Time
- Must have own device that has MS Office
· Proficient in Excel and comfortable using modern technology
· Strong attention to detail and organizational skills
· Effective oral and written communication abilities
· College degree or equivalent is preferred
· Must be amenable to work remotely and accept a virtual remote work contract
